SHIFT WORK PLANNING
How to build an accurate work shift calendar
A useful work shift calendar does more than mark the days you work. It keeps a rotating schedule aligned across months, handles overnight duty, totals scheduled hours and gives you a clear record to compare with your payslip.
What is a work shift calendar?
A work shift calendar is a personal view of scheduled workdays, rest days and shift times. Unlike a standard weekly planner, it can follow a cycle that continues independently of Monday-to-Sunday weeks. That matters for people whose duty pattern repeats every six, eight, nine, fourteen or twenty-eight days.
For example, a 4 on, 4 off schedule is an eight-day cycle. Its work block starts on different weekdays as the cycle moves through the year. Repeating only the same weekdays would gradually create the wrong roster. A shift work calendar should repeat the full sequence by calendar days.
Build the calendar in five steps
- Find the complete cycle. Include every day shift, night shift and rest day before the pattern starts again.
- Confirm day one. Use a date you know is the first day of the official workplace rotation—not simply the next day you work.
- Enter real shift times. Add start and end times, unpaid breaks and any shift-specific allowance.
- Repeat by days. Generate the complete cycle through the end of the year or the end of your known roster.
- Review before exporting. Compare several dates with the official schedule, especially after a month boundary.
Choose the right shift pattern
Use a preset only when it matches the rotation issued by your employer. Common options include the 2-2-3 schedule, DuPont schedule, Pitman schedule, 24/48 and 48/96 firefighter schedules, and 7 on, 7 off remote-work rotations. Employers sometimes use local variations even when they share the same name.
If your roster is different, use a custom rotating shift. Enter one complete sequence in the exact order it occurs. Free days are part of the sequence and must be included, because they determine where the next work block begins.
Day-based rotations versus weekly repeats
| Method | Best for | What repeats | Main risk |
|---|---|---|---|
| Weekly repeat | Fixed Monday-to-Friday or fixed weekend work | The same weekdays | Incorrect for cycles that are not 7 or 14 days |
| Day-based rotation | 2-2-3, DuPont, 4-on-4-off, DDNNOO and custom cycles | The complete work-and-rest sequence | Wrong dates if day one is misaligned |
| Manual roster | Irregular schedules issued one period at a time | Nothing automatically | More data entry and missed changes |
Handle night shifts and work over midnight
A night shift commonly begins on one date and finishes the next morning. Enter the real start and end times; PayCheck AI treats an end time earlier than the start time as the following day. Also record unpaid breaks consistently. If a workplace assigns an overnight shift to the date it begins, keep that convention throughout the calendar.
Track hours, overtime and estimated pay
A shift calendar becomes more useful when it also totals regular hours, overtime and allowances. Enter the hourly rate and currency, choose the relevant overtime multiplier and add fixed premiums to the shifts where they apply. The result is an estimate of gross pay, not a payroll calculation: taxes, overtime thresholds, collective agreements and local labor rules can change the final amount.
Compare the calendar with the official time record and payslip each pay period. The overtime pay guide, shift allowance guide and payslip error checklist can help organize that review.
Use the calendar on your phone and with a team
The planner works in a mobile browser and can be added to the home screen. CSV export is useful for spreadsheets, while ICS export can add the schedule to compatible calendar apps. Signed-in users can sync supported calendar data across devices.
If coworkers follow the same roster, shift teams can share published schedules, invitations and team chat. Always confirm late changes with the official workplace source before relying on a shared calendar.
Examples by profession
- Nurses can separate day, evening and night duty and record weekend allowances.
- Firefighters can generate 24/48, 48/96 or a verified local Kelly rotation.
- Police officers can model team-based day and night rotations.
- Manufacturing workers can plan continuous-operation patterns such as DuPont and DDNNOO.
- Security workers can track changing sites, relief shifts and overnight duty.
- Oil and gas workers can plan multi-day on/off blocks and travel periods.
Work shift calendar FAQ
What is a work shift calendar?
It shows scheduled workdays, rest days and shift times across weeks or months. A rotating calendar repeats a complete day-based cycle rather than only the same weekdays.
How do I make a rotating shift calendar?
Identify the complete work-and-rest cycle, find its true day-one date, enter each shift and rest day, then repeat the entire cycle through the required date range.
Why does my shift schedule move to different weekdays?
Many rotations last six, eight, nine, fourteen or twenty-eight days. Cycles that are not exact seven-day weeks naturally move through the weekdays.
Can I add a work shift calendar to my phone?
Yes. PayCheck AI can export an ICS file for compatible calendar apps and can be added to a phone home screen as a web app.
