The figures entered in the manual calculator are processed in your browser. PayCheck AI does not send or store those figures.

Shift calendar and optional account

The shift calendar requires an account for creating, changing, synchronizing and exporting shifts. Your name, email address, password hash, shifts, work times, hourly rates and allowance amounts are stored in Cloudflare D1 so the calendar can be synchronized between devices. Your name is shown to members of teams you join; your email address remains available for account access and team invitations. Passwords are not stored in readable form. Payslip documents are not included in calendar synchronization.

Account emails

PayCheck AI uses Resend to deliver essential account messages such as email confirmation and password-reset links. Your email address and the content of the account message are sent to Resend only when needed for these functions. Confirmation and reset links use random, single-use tokens with an expiry time; only a one-way hash of each token is stored in our database.

Sharing shift plans

Registered users can choose to send a dated shift-plan snapshot to another registered PayCheck AI account by entering the recipient’s email address. The recipient can preview, accept or reject the plan. Shared plans include shift dates, start and end times, unpaid breaks, shift types, overtime markers and shift notes. Hourly rates, currencies, allowance amounts and pay settings are not shared. A plan is copied into the recipient’s calendar only after the recipient accepts it.

Teams, shared schedules, absences and messages

Registered users can join work teams. Team owners and planners can create email-restricted invitations or share the reusable team invitation link or QR code. The QR code is generated in your browser and contains the reusable invitation link. Anyone with that reusable link or code can join the team after signing in, so share it only with people you want in the team. Team members can see the team name, member names, roles, team shifts, assignments, daily task titles and notes, completion status, and messages posted in that team.

Team owners and planners can view each team member’s personal shift dates, start and end times, and shift type for planning. They cannot see personal pay settings or private shift notes through this view. A team member can add a vacation request, vacation day, leave, time off in lieu or sick day. Owners and planners can view these absence dates and types; they can approve or reject vacation requests. A note can be added to a vacation request, but the form does not accept medical details for sick days. Other team members do not see another member’s personal calendar or absence entries. Team shifts, absence entries, tasks and messages are stored to let the team coordinate work and review its schedule later.

Team members can optionally enable device notifications for new messages. When enabled, the browser provides PayCheck AI with a device-specific push endpoint and cryptographic subscription keys. These values are stored until notifications are disabled or the subscription expires. The notification service receives a delivery signal; the signed-in PayCheck AI service worker then retrieves the latest unread team message securely.

Trial and account data

The first 100 registered accounts receive a 30-day Pro trial; later accounts receive 14 days. Calendar data is not deleted merely because a trial or subscription ends. Users retain access to view and delete stored information, subject to reasonable retention and security requirements. Export and other Pro actions require an active trial or subscription.

AI document analysis

AI analysis is optional. When you choose it and give consent, the selected files are sent through PayCheck AI’s server to OpenAI for processing. PayCheck AI does not intentionally retain the uploaded documents or extracted figures. OpenAI processes the information under its applicable API data controls and policies.

Usage analytics and Meta Pixel

PayCheck AI usage analytics, Google Analytics and Meta Pixel are activated only after you accept analytics. They help us understand visits, registrations, feature use, return visits and subscription conversions. PayCheck AI records limited events such as page views, completed calculations, saved shifts, opened registration, errors and optional feedback categories. A random browser identifier is stored after consent and saved as a one-way hash on our server. Signed-in activity can be connected to the internal account ID so we can calculate retention; the admin dashboard shows aggregate results rather than individual activity.

We do not include salary amounts, extracted figures, shift dates or times, shift notes, document contents, file names, email addresses, passwords or access codes in analytics events. Product-analytics events are retained for up to 400 days. Advertising storage, ad user data, ad personalization and Google signals remain disabled.

Your choice and random analytics identifier are stored in your browser as paycheck_analytics_consent and paycheck_analytics_visitor. The consent choice is kept in local storage and a first-party cookie so it remains available if one storage method is unavailable. You can clear this site’s browser data to withdraw that browser’s analytics choice and identifier. Google and Meta may process ordinary device, browser, page and network information when measurement is enabled. See Google’s Privacy Policy and Meta’s Privacy Policy.

Sensitive information

Remove or cover national identification numbers, bank account numbers, addresses and other information that is not needed for the calculation before uploading a document.

Technical data

Our hosting and security providers may process ordinary technical information such as IP address, request time and browser data to deliver and protect the service. Measurement tags are not loaded until you choose analytics consent.

Your choice

You can use the manual calculator without uploading documents and without accepting Analytics. If you do not agree to AI processing, do not use the AI upload feature.
