Extract shifts from a rota PDF or image into PayCheck AI: OCR workflow and approval checklist
Ai shift schedule maker: If you or your planner are staring at a PDF rota or a photographed schedule and need a reliable way to import those shifts into a working calendar, the one-time AI extraction feature in PayCheck AI can save time. This guide walks you through uploading a rota PDF or image, reviewing AI-extracted shifts, correcting any times or details, approving the import, and exporting the result. It includes a reusable approval checklist and practical privacy reminders so you can import accurately and safely.
Who this helps and what to expect
This article is for shift workers, managers and planners who receive rotas as PDFs or images and want a quick, low-work way to turn them into an editable calendar. It assumes you have access to PayCheck AI's Pro trial or paid Pro subscription (required for the one-time rota upload and extraction).
The AI extraction performs optical character recognition (OCR) to detect dates, times and shift labels. You must review and approve every extracted shift before it is imported into your calendar. PayCheck AI does not store uploaded documents; the extraction is one-time and requires you to confirm the results.
Note: PayCheck AI helps build and sync a work shift calendar, estimate regular and overtime hours, and export CSV or ICS files, but it does not calculate taxes, guarantee payroll/legal accuracy, automatically assign workers, or import directly into payroll software. Treat any pay calculations you see as manual estimates unless otherwise stated.
Step 1 — Prepare your rota PDF or image
Choose the clearest source you have. A high-contrast PDF or a straight, well-lit photo reduces OCR errors. If possible, crop out unrelated content (logos, irrelevant notes) so the extractor focuses on the rota grid or list.
Check that all important details are visible: dates, start and end times, location or role if present, and worker names (if the rota is personalised). The extractor is optimized for common shift formats but will still need you to confirm ambiguous entries.
Step 2 — Upload for one-time AI extraction
Open PayCheck AI and choose the option to upload a rota PDF or image for extraction (available during an active free Pro trial or paid Pro subscription). The upload is for one-time AI processing only; PayCheck AI does not retain the uploaded document after extraction.
Select the file and let the OCR run. Processing time varies with file size and complexity. When complete, PayCheck AI will present a draft calendar view of detected shifts and an editable list of extracted items for review.
Step 3 — Review detected shifts (what to check)
Treat the draft as a first-pass conversion. Check each extracted shift for:
- Correct date and time (start and end). OCR commonly flips digits, misses AM/PM or misreads colons and decimals.
- Correct worker name or role. If your rota lists initials or nicknames, confirm how they map to calendar profiles.
- Overnight shifts and night-window calculations. PayCheck AI supports night-window allowances if you configure them, but you must confirm which shifts cross midnight before relying on those settings in estimates during an active Pro plan or trial.
Step 4 — Make edits and resolve ambiguities
Use the editor to fix times, change shift durations, or assign shifts to the correct person. Examples of common edits:
- Change a detected 7.00 to 7:30 if the colon was missed.
- Split a long entry that OCR combined into a single shift into two separate shifts (for example, a 09:00–13:00 and a 15:00–20:00).
- Add a missing date if the rota used weekday labels only (Mon/Tue) without explicit dates — you will need to map those labels to the correct calendar dates before approving imports.
Step 5 — Approve the import and what happens next
Once you are satisfied, approve the import. Approved shifts are added to your PayCheck AI calendar where you can: view individual shifts, use preset rotations or create day-based custom rotations in other parts of the app, track regular and overtime hours, estimate gross pay for the calendar period, and export in CSV or ICS format.
If you are part of a team, remember that team calendars and owner-managed copies are read-only for members, and team owners can publish and assign shifts. Personal pay settings and private notes remain private and are not shared to the team calendar.
Step 6 — Exporting and sharing
After import, you can export the calendar as CSV or ICS to share with payroll, scheduling tools or external calendars. PayCheck AI also supports creating a private read-only calendar subscription for Google Calendar, Apple Calendar or Outlook (these subscriptions refresh from PayCheck AI but are not editable from the external calendar).
Use exports when you need a local copy or to provide a printable schedule. Remember: edits should always be done inside PayCheck AI first, then re-export to keep copies in sync.
Practical checklist
- Prepare a clear image/PDF and crop unrelated content.
- Confirm you have an active Pro trial or paid Pro subscription for the one-time upload feature.
- Upload the rota PDF/image and wait for OCR to finish.
- Review every extracted shift: date, start/end times, worker/role and location.
- Fix misread times, split merged shifts, and map weekday labels to actual dates.
- Confirm overnight shifts and apply night-window, weekend or public-holiday allowances only if configured in Pro.
- Approve the import once all items are correct.
- Export CSV or ICS if you need an external copy or subscription link for Google/Apple/Outlook calendars (subscriptions are read-only).
Frequently asked questions
Does PayCheck AI keep my uploaded rota file?
No. The rota upload for extraction is a one-time OCR process. PayCheck AI does not store uploaded documents after extraction.
Can the AI automatically assign shifts to team members?
No. The extraction detects text (names/roles) but PayCheck AI does not automatically assign workers. Assignments must be reviewed and approved by you or a planner.
Will PayCheck AI calculate taxes or guarantee payroll accuracy from the imported shifts?
No. PayCheck AI can estimate regular and overtime hours and let you estimate gross pay for a calendar month, but it does not calculate taxes or guarantee payroll or legal accuracy. Rules and calculations vary by country and agreement, so verify with your payroll process.
Can I edit the calendar from Google/Apple/Outlook after exporting?
No. Calendar subscriptions created by PayCheck AI are read-only in the external calendar. To make changes, edit the schedule in PayCheck AI and then re-export if needed.
What should I watch for in OCR errors?
Common issues include misread colons (730 vs 7:30), swapped digits (12:30 vs 21:30), combined shifts that should be separate, and missing AM/PM markers. Always compare the draft with the original image before approving.
